Interact Flow and the BPMN Revolution

This article will describe how Interact Flow contributed to the transformation of the clinical record system at Sanatorio Garay in Argentina.

In the era of digital healthcare, operational efficiency is not merely a financial goal but an ethical imperative. The management of a patient’s Clinical Record (CR) is the central nervous system of any healthcare institution. However, its complexity often creates bottlenecks that affect both healthcare professionals and patients.

What is Interact Flow?

Interact Flow positions itself as a leading tool for conceptual modeling using BPMN 2.0 (Business Process Model and Notation). Its value is built on two fundamental pillars:

  • Agile conceptual modeling: enables the visual design of process flows, making it easier to identify “waste” and improvement opportunities before technical implementation.
  • Learning environment: provides an ideal practical space for multidisciplinary teams—such as physicians, administrative staff, and consultants—to learn BPMN syntax, a universal language that connects business and technology.

Success Cases: Consulting at Sanatorio Garay

Through strategic consulting, Sanatorio Garay has implemented critical process models to stabilize its operations and improve the traceability of Clinical Records.

  1. GAIP 01 – Patient Admission for Hospitalization
    The process begins long before the patient occupies a bed. Interact Flow was used to map the workflow from preoperative procedures and pre-admission, carried out between 24 and 48 hours in advance.

The critical milestone modeled is the opening of the Digital Clinical Record, ensuring that all legal and coverage documentation is validated prior to the patient’s admission to the unit.

  1. GAIP 03 – Inpatient Care
    This is the core of clinical care. The BPMN-based workflow guides professionals from admission to the unit through to discharge. It includes critical decisions such as:
  • Definition of the care protocol;
    • Management of diagnostic services and surgical interventions;
    • Execution of ongoing care and treatment.

The modeling ensures that every medical interaction is recorded in real time in the clinical record, preventing information loss between shifts.

  1. GAIP 06 / GAIP 05 – Settlement and Billing
    Digital transformation culminates in economic sustainability. The settlement and billing processes were optimized to reduce the revenue cycle time.

Specific steps were modeled for financial reporting and the organization of documentation for health insurance providers, ensuring that what is recorded in the clinical record exactly matches what is billed.

Methodology Benefits

By applying Interact Flow in hospital management, tangible results are achieved in the value equation:

V = (Quality of Care × Safety) / Operational Cost

  • Error reduction: through the standardization of clinical record entries.
    Transparency: full real-time visibility into the status of each patient.
    Administrative efficiency: elimination of non-value-added tasks in the billing process.
