BPM in HR: How the automated hiring process works

Practice elucidates the theory. In the last text on Business Process Management (BPM), we present the methodology’s history, concepts and stages. Today we will show you how it works, with a consolidated example from home: BPM in the HR, the automated hiring process for Interact employees. Interact’s automated admission process begins with the selected candidate’s acceptance of the job offer. At that moment, DH starts a new process instance, systematically registering the new employee with Suite SA Strategic Adviser. Five specific modules are used: SA Process ManagerSA Occurrence ManagerSA Performance ManagerSA Document Manager, and SA Competence Manager.

The duration of the entire process is 90 days. Precisely, this is the length of the employee’s trial period. In total, admission triggers 51 activities for six sectors of the organization: Human Development (17 activities), New Employee Manager (11), Administration and Finance (11), Planning and Quality (5), Communication and Marketing (5) and Infrastructure (2).

All communication of tasks is automatic. According to Gabriele, this systematization brings tranquillity to the continuity of other Human Development activities. “To follow the flow’s progress, check the instance through SA Process Manager. I can instantly check the activities that are pending, in progress or have already been completed by colleagues ”, she explains. In this sense, it highlights access, control and time savings with the process.

Human factor

An automated but humanized process. Although the word automates has a cold connotation, Gabriele underlines each employee’s role in the six sectors involved. “Everything operational when hiring an employee can be automated, but it is important to note that non-operational activities are also part of the entire process,” she explains.

The monthly evaluation is one of them. Once a month, on three occasions throughout the process, the team leader and the HD industry promote evaluation feedback. In addition, meetings are held with the employee for joint analyses of the activities’ adaptation, evolution and development. Automation in this step appears with a timer on the system, which triggers warnings for tasks.
